Supervisor Approval

For PD events where supervisor is required, the employee’s supervisor/admin would require approving the request to attend the PD event before the employee can successfully complete their registration.

Sending Emails

Step 1: Check the white box of the left of the applicant(s) name you want to email. Click the Send Email button at the bottom of the page.

Searching for Occasional Applicants

Step 1: From the Applicants section, select Search Applicants.

Searching for Internal Applicants

Step 1: From the Applicants section, select Search Applicants.

Search Database

Step 1: From the Applicants section, select Search Database.

Search Applicants

Step 1: From the Applicants section, select Search Applicants.

Reviewing And Adding Contacts

Step 1: On the Absence Details page click Review Contacts in order to view the replacements and the status of their contact.

There are multiple options available to review registered participants and to generate the attendance sheets for created PD events.

Reviewing & Editing PD Events

When editing a PD Event automatic email notification are sent to all registered participants if the Session Start/End Times are changed and or if the Location or Description is modified.

Reviewing Absences Missing Information

Click on a # and then click on absences to enter the missing information.

Reviewing Adjustment Logs

Step 1: Individual adjustment logs can be viewed on the Employee Adjustment Summary page when you expand a specific entry and click Yes/No for Sent to HR.

Registering for PD Events

Employees use their PD Catalog to register for PD events and sessions.

Preferred Contact List

Follow the below instructions to add an Occasional/Casual employee to your School/Location Preferred List.

Modifying the Absence or Payroll %

If the absence % is edited to zero, this will trigger a change request to signal to HR that the absence record is no longer required.

Preferred List By Employee

Step 1: Under the EasyConnect section, select Staff List.

Posting to Multiple Job Categories

Step 1: Select the Job Category you want to post your job to, then add the additional categories from the Open To section.

Portfolio Preferences

Step 1: From the User Profile section, select Portfolio Preferences.

On-Call And On-Hold

Step 1: From the Administration section, select Schools. Step 2: In the Absences On-Hold section, enter the # of absences per day.

OCT Search By Qualifications

Step 1: When looking at the list of applicants that applied to your position scroll to the bottom and click Edit Search to View OCT qualifications.

First Contact

Step 1: From the EasyConnect section, select Create Absence. Select Location, Employee Group (e.g. Elementary Teacher, ECE, etc.) and if the absence requires a Replacement (Y/N).

Export & Report PD Event Details

There are multiple options available to generate reports on PD events.

Expired Applicants

If an applicant is greyed out in a job postings, they will not be searchable in the database. These applicants are only visible within a job posting.

Editing Absences

Step 1: Find the absence that requires editing by searching for it on the Absence List or Search Absence pages then click the Code to view the Absence Details.

EasyConnect Manuals

EasyConnect can be used to create absences, contact replacements, and fill openings. The following manuals will answer questions you may have.

Deactivating an Absence or Selected Entries

Step 1: Individual selections for the absent employee or replacement employee can be deactivated by selecting the entry and clicking Deactivate Selection (A cancellation email will be sent to the replacement if a replacement employee selection is deactivated).

EasyConnect Dashboard For Reviewing Absences

Simply click on a # to view the absences.When you click on a # or the Absence List, you can select Today or Tomorrow to review current absences.

Create Email Templates

Creating An Absence

Step 1: From the EasyConnect section, select Create Absence. Select Location, Employee Group (e.g. Elementary Teacher, ECE, etc.) and if the absence requires a Replacement (Y/N).

Creating PD Events

1. In the Scheduler section, click on Manage/View PD Events.

Create Customized Tags

Step 1: From the Administration section, select Manage Applicant Tags.

Cancelling PD Events & Unregistering Participants

PD events may only be deleted if there are no registered participants in the event. Select the event which requires removing and click Delete at the bottom of the Manage/View PD Events page.

Change Your Password

Step 1: From the User Profile section of your employer account, select User Profile.

Copying a PD Event

Copying a PD event will save you time when creating multiple events with similar content.

Can I Print Off A Snapshot Of The Interview/Event Details

Step 1: From the Scheduler section, select Interview & Events. Option 1: Click on the numbers to see the Accepted, Pending or Invited applicants.

Bulk Edits

Step 1: In the EasyConnect section, select Absence List. Click on the code in Green to review the details.

Approving Records For Export

Click on Export Workflows in the Administration section. From the Homepage, simply click on a # to view the absences for the indicated work flow step.

Approving Occasional Applicants and Adding Seniority

Step 1: In the Applicant Info page, click edit beside the Employee ID #.

Access Denied When Uploading Resume or Cover Letter

If you receive the message “Access Denied”, ensure the document is not already open on your computer. If it is, close it and retry.

Why Can’t I Apply?

There are a few possible reasons why you are unable to generate the job posting which you would like to submit your application to, they are the following:

I Can’t Register – Email or Username Already Exists

User name already exists: The user name is already in use by another applicant in our system. Please choose a different username to register your account.

What is an EIN?

EIN stands for Employee Identification Number. An EIN is given to each employee by your School Board and is used to Accept EasyConnect assignments offered by phone.

How Do I View My Assigned On-Calls?

Step 1: Hover over the EasyConnect section, click on On-Call List.

Occasional Employees Verifying Submission to Payroll

Step 1: Hover over the EasyConnect section, click on Assignments Offered.

Employees Cancelling Absences

Step 1: In the EasyConnect section, click on My Absences.

Replacements Cancelling an Accepted Assignment

When viewing an accepted assignment, if you see the ability to cancel the absence you can do so after you enter your reason.

How Do I Accept/Decline EasyConnect Job Offers?

In order to accept/decline an offer through the phone (EasyConnect) please do the following:

First Contact

Unfilled – No portion of the absence is filled.

Partially Filled – Part of the absence, but not the entire absence, is filled. (ex. Part of the absence was filled with an on-call.)

Completely Filled – The entire absence is filled.

Incomplete – The absence requires a replacement, but does not have any replacement employee records defined.
